Sales Support Coordinator

Job Summary:

The Sales Support Coordinator assists the sales team in managing client relationships, preparing proposals, and ensuring seamless project coordination for custom Audio Visual (AV) and Network Security Integration (NSI) system integration. The ideal candidate will have excellent organizational skills, attention to detail, and a strong understanding of AV and network products and services. This role acts as the bridge between the sales, design, finance, purchasing and technical teams, facilitating communication and documentation to meet client needs effectively. 

 

Core Responsibilities:

Sales Support: 

*Collaborate with the sales team to prepare and review AV or NSI system proposals, quotes, and presentations for clients.  

*Assist in responding to client inquiries and managing communication. 

*Organize and maintain client records, order processing, and sales documents. 

*Coordinate pricing, product information, and availability with vendors to ensure accuracy in proposals. 

*Potentially assist in weekly sales reporting and forecasting.  

*Potentially assist in scheduling of manufacturer meetings. 

*Participate in all sales meetings. 

 

Administrative Support: 

*Ensure all sales documentation is accurate, up-to-date, and properly filed. 

*Provide administrative support such as preparing meeting agendas and organizing sales meetings. 

*Support bid team with the bid response requirements. 

*Support production with purchasing, order procession and project close out.   

*Managing project related tasks, defined by the VP of Sales, and assigned tasks as required. 

*Other tasks as assigned by the VP of Sales or President 

*Work with Project Managers and the Sales Tean, to create internal and external change orders. The coordinator would need to be proficient in D-Tools to include having the ability to approved change orders to pending in D-Tools. 

*Assist with inventory tracking and provide lead times as requested. 

Experience: :
•    Proven experience in a sales support or administrative role, preferably in the AV or technology sector. 
•    Familiarity with audio visual systems, including products and services related to AV integration. 
•    Strong organizational skills with the ability to manage multiple projects simultaneously. 
•    Excellent written and verbal communication skills. 
•    Proficiency in Microsoft Office Suite and CRM/HubSpot systems. 
•    Ability to work collaboratively with sales, technical, finance, purchasing and project management teams. 

Preferred Skills: 

  • Experience with AV-related software (AutoCAD, Bluebeam, D-Tools, NetSuite) and understanding AV design documentation. 
  • Knowledge of industry vendors and AV product lines. 
  • Experience in working with custom AV systems or technology integration solutions.

VP of Sales and President, in lieu of VP of Sales
